We’re Abacus Australia (“Abacus”, “we”, “us”). We help you arrange insurance and member services, working in partnership with PSC Insurance Brokers (“PSC”). Abacus is your day-to-day contact; PSC is our licensed insurance partner that places and manages policies with insurers.

This Privacy Policy explains how we collect, use, disclose and protect your personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It covers our website, forms, emails, phone calls and any other interactions with Abacus.

The personal information we collect depends on your interaction with us. It may include:

  • Identity & contact: name, business name, position, address, email, phone.

  • Professional details: practice structure, services offered, professional memberships, registrations (e.g., TPB), licence numbers.

  • Risk & quote information: revenue, staff numbers, claims history, prior policies/schedules, services provided to clients.

  • Payment & billing: limited payment details, invoices and transaction records (processed via secure providers).

  • Technical data: IP address, device/browser type, pages viewed, and cookies or similar tracking identifiers.

  • Communications: emails, call notes, website forms, meeting notes.

  • Claims materials (if applicable): incident descriptions, supporting documents, correspondence with insurers/experts.

We generally don’t seek sensitive information (e.g., health information). If it’s reasonably necessary for a claim or complaint, we’ll only collect it with your consent or as permitted by law.

  • Directly from you (website forms, email, calls, meetings).

  • From your team or advisers if they interact with us on your behalf.

  • From PSC and insurers as part of quotes, policy placement, renewals and claims.

  • From service providers (e.g., analytics, email platforms, secure file-sharing).

  • Automatically via cookies and similar technologies on our website (see section 10).

If you choose not to provide information we request, we may be unable to offer quotes, place cover, or assist with claims.

5) Why we collect and use it

We handle your personal information to:

  • Provide our services, including advice coordination, quotes, renewals and claims support.

  • Share necessary details with PSC so they can approach insurers and manage your policy.

  • Communicate with you about your cover, renewals, incidents and service updates.

  • Improve our website, services and member experience (analytics, quality assurance).

  • Send direct marketing (news, offers, updates) that you can opt out of at any time.

  • Meet legal, regulatory and risk-management obligations (e.g., record-keeping, complaint handling, fraud prevention).

6) Disclosure to third parties

We may disclose personal information to:

  • PSC Insurance Brokers (our partner): to obtain quotes, place and manage policies, and coordinate claims.

  • Insurers and underwriting agencies: to assess risk, issue policies and handle claims.

  • Specialist vendors: IT and cloud providers, email/marketing platforms, document management, analytics and security providers.

  • Professional advisers: legal, accounting or compliance advisers where reasonably necessary.

  • Regulators or law enforcement: if required or authorised by law.

  • Others with your consent or as reasonably expected in the context of our services.

Overseas disclosures

PSC, insurers or service providers may store or process personal information outside Australia (e.g., cloud hosting). Where practicable, we take reasonable steps to ensure overseas recipients handle your information in line with the APPs (APP 8).

We may send you information about services, updates or events. You can unsubscribe via the link in any email or by contacting us at [privacy@abacusaustralia.com.au]. We don’t sell your personal information.

8) Access and correction

You can request access to the personal information we hold about you, and you can ask us to correct it if it’s inaccurate, out-of-date or incomplete (APPs 12 & 13).

  • We’ll respond within a reasonable time. We may ask you to verify your identity, and in rare cases charge a reasonable administrative fee (we’ll tell you beforehand).

  • If we can’t provide access or make a change, we’ll explain why (unless unlawful to do so) and note your request on our records.

9) Security

We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include access controls, encryption in transit where appropriate, staff confidentiality obligations and secure disposal practices. No method is 100% secure; if a data incident occurs, we will manage it in line with legal requirements.

10) Cookies, analytics and tracking

Our website may use cookies and similar technologies to operate the site, remember preferences and understand how it’s used (e.g., session cookies, analytics cookies). You can control cookies through your browser settings, though the site may not work as intended without them. We may use third-party analytics and advertising tools that process de-identified usage data to help us improve the site and communications.

11) Retention and deletion

We keep personal information for as long as needed for the purposes described above or as required by law (e.g., insurance and financial record-keeping). When no longer required, we take reasonable steps to de-identify or securely destroy it.

12) Third-party sites and services

Our website may link to third-party sites. Their privacy practices are their own. When you engage with PSC or an insurer, they will handle your information under their own privacy policies. We can provide links or copies on request.

13) Children

Our services are designed for adults in business contexts. We don’t knowingly collect personal information about children.

14) Changes to this policy

We may update this Privacy Policy from time to time. The latest version will be posted on our website with the effective date.
